How an event differs from a wedding

A wedding moves one group toward one party. An event moves several groups toward fixed times.

  • The clock

Wedding. The big time is the ceremony, and a guest who arrives late can still join the party.

Event. Doors, sessions, curtain and screening start at fixed times. Everyone has to be there before, so we plan backwards from the start time.

  • Who travels

Wedding. One guest list, mostly one group.

Event. Several flows at once: delegates, speakers, VIPs, press, crew and talent, each with its own times and often its own vehicle.

  • Arrivals

Wedding. Guests land on flights the planner knows.

Event. A flight list from the organiser, and a peak: we size the vehicles on the busiest window, not on the total.

  • The return

Wedding. Guests leave when the party ends.

Event. Often waves after a gala, a session or a screening, with a last departure fixed in advance.

  • At the pickup point

Wedding. Elegant and discreet, nothing that stands out.

Event. A meeting point your guests can find. Tell us what you need there, from name signs to your own signage or a drop-off in sequence.

  • On the day

Wedding. The planner calls when something changes.

Event. For large events, one or more coordinators follow the operations and do nothing else. We agree in advance who on your side can order an extra vehicle or hour.

Three kinds of event, three ways to plan

  • Conferences and conventions

Hotels to venue on a clock: shuttles that repeat between sessions, arrival waves from the airport and a return in waves after the gala dinner. We size on the peak.

  • Fashion shows and presentations

Hard call times for crew and models, a narrow window before the show for guests and press, and a separate vehicle for the people who must not wait in line.

  • Film premieres and festivals

Guests and talent arrive close to the screening, so the drop-off at the entrance is planned as a sequence. Access to the venue is settled first, and the evening return runs in waves.

How we plan it

  1. You send the programme

The programme, the flight list (even a draft), the hotels and the venue addresses. If something is not settled, write “to be confirmed” and we plan with stated assumptions.

  2. We reply with a movement sheet

One line per movement: day, meeting time, the time everyone has to be there, origin, destination, number of people and vehicles.

  3. You get a quote in blocks

Arrivals, daily shuttles, evening return and departures are quoted separately, and any extra is quoted before it runs.

Example: 120 delegates and a session at 09:00

An illustration of how a plan is built, not a quote.

All delegates sleep in one hotel, 8 km from the venue, and must be seated by 09:00. Assume minibuses of 19 seats. A round trip takes about 40 minutes in season (20 minutes each way), plus 8 minutes to load and unload. The last trip counts only its one-way time: 20 minutes.

The example uses the nominal 19 seats and adds no buffer to the trip time: with luggage or a buffer, more minibuses are needed.

We count whole trips, not total minutes, because the last trip only has to arrive on time: trips per vehicle = (time window − one-way time) ÷ trip cycle, rounded down, plus one.

Speakers and VIPs are planned apart from this flow, and the evening return after the gala is sized on its own window.

What you can rely on

  • Flights followed

We follow your guests’ flights on Flightradar24, so the driver knows when they actually land.

  • Early at the pickup point

Your driver is there 15 minutes before the agreed time.

  • Vehicles checked

Every vehicle is checked before each service, from cleanliness to mechanical condition.

  • Backup in place

If a vehicle has a problem, one of the same class is sent, so a confirmed booking is never left uncovered.

  • Someone to call

An emergency line (phone and WhatsApp) stays open for the whole duration of every service in progress. For large events, one or more coordinators follow the operations on the day and do nothing else.

  • English-speaking drivers and office

Drivers and office speak English and Italian.

Questions from event organisers

What do you need from us to plan an event?

The programme, even in draft; a list of arrival and departure flights; the hotels; and the addresses of the venues. Where something is open, write “to be confirmed” and we plan with the assumptions stated.

How do you handle speakers and VIPs?

They can travel apart from the group, in a sedan or van, on their own times. Tell us who they are and when they need to be where.

What if the programme changes on the day?

Our emergency line, by phone or WhatsApp, stays open for the whole duration of every service in progress. For large events, one or more coordinators follow the operations and do nothing else. We agree with you in advance who can order an extra vehicle or hour.

Are guest lists kept private?

Passenger lists are personal data. If you need an NDA, send it with your request.

How large an event can you cover?

We have coordinated more than 120 vehicles and chauffeurs in a single day across multiple venues during peak events. We arrange sedans, vans and buses, from a small executive meeting to a large event.

Are prices fixed in advance?

Each block of the plan is quoted in advance. Night and holiday supplements, where they apply, are shown in the quote. Extra rides or hours ordered beyond the agreed plan are quoted before they run.
